Use order, inventory and customer records to resolve the exceptions that consume operating time. A useful system identifies the conflicting evidence and the next responsible person. Select a queue where source records, approval rules and a measurable baseline are available.
The workflow designs below are starting points for scoping. Review our published work and its implementation status, then evaluate your own records, operating constraints and acceptance criteria.
Inventory, reservation and shipment records do not update at the same time.
Service staff repeat the same evidence gathering for returns and delivery questions.
A confident reply can imply a refund, inventory promise or delivery date without authority.
Connect ERP item and order records, WMS stock events and supplier updates. Flag an order when the promised quantity conflicts with available or reserved stock. Show the timestamps and source records behind the flag. A planner approves replenishment, allocation and customer promises; the model does not create stock or change an inventory balance.
Acceptance: Test delayed stock events, unit-of-measure differences, partial shipments and duplicate supplier messages. Measure correct exceptions identified and avoidable manual reconciliation. Keep fulfillment performance separate from detection accuracy.
Combine the approved returns policy, order history and customer correspondence. Draft a response with the relevant policy version and supporting order facts. Route damaged goods, disputed delivery and out-of-policy requests to the appropriate reviewer. A person or a deterministic approved rule authorizes a refund.
Acceptance: Test repeated claims, expired policies and conflicting delivery evidence. Compare correction effort and resolution time, and confirm that unsupported customer facts are left as questions rather than asserted.
Separate assistance from financial and stock transactions. Restrict access by store, customer and role; mask payment credentials from model inputs. Preserve the source record and approval trail for any proposed change. Identify which system remains authoritative when event feeds disagree.
Review the deployment security questions and private AI operating options.
A recurring task with varied documents may need a custom AI application. A fixed reconciliation rule may fit existing software. Map integration and permission requirements before selecting either approach. Keep the accepted source records available to the reviewer.
Assign an owner for source quality, access reviews, alerts and change approval. Agree how staff continue work when a connected system or model is unavailable. Test the fallback as part of acceptance, rather than assuming a person can reconstruct the process during an incident.
Use these questions to prepare a project conversation:
Include a redacted example of a normal case and an exception, the current process owner and the system of record. Request a project review when you can describe the decision the system needs to support.

Establish the current completion time, correction effort and quality from actual records. Agree a representative evaluation set, including exceptions and prohibited actions. Compare the candidate workflow with the existing process and simpler software or rule changes.
Accept deployment only after the responsible users can verify the evidence, permissions and fallback. Identify who monitors performance, handles incidents and approves source or model changes. Read our delivery approach and review ownership and operating responsibilities.
